Music Booster Minutes

Minutes of Thursday, August 4, 2011 submitted respectfully by Cindy Koehler.

The meeting was called to order at 6:45 p.m. in Nauvoo.
Attending:  Dennis Dowell, Kathy Jacobs, Alan Kanauss, Cindy Koehler, Joni Wilson, Janet Rahman

Secretary’s Report was read and approved by Alan – seconded by Cindy.

Treasurer’s Report was not available.

OLD BUSINESS:

Nauvoo Pageant concession stand
Worked 7 nights.  Seemed to go well.  We’ll know what we made in September.  Then we can decide if it’s worth our time and effort next year.

Music stands & cart for Jr. High
Dennis will research prices and report back.  He needs folding stands for tours, community band, jazz, etc.  He’s thinking they may be $15 apiece.  We can make purchase for 2nd semester.

T-Shirts
It was said that Outlaw Tees has been given directions to make the C clearer in WNC on the original design.  We also asked for no distressed look – too messy.  We will need order forms and will sell to students and families. We still have not heard anything from Outlaw Tees for design. Order forms for students??

Band T-Shirts
Alan wants the same band t-shirts as before.  He will place an order.

Pet Parade 9/3
Jr. High marches in the 2:00 parade.

Grape Festival Parade 9/4
High School marches in the 2:00 parade.
We plan to sell water to the public prior to the parade.  We’ll need 12 student and 6 adult volunteers.  Let’s ask members of our jr. high/high school choruses and jr. high band.  Cindy will compose a letter to take into HyVee, County Market, Walgreens, and Wal-Mart asking for donations of bottled water.  We will need coolers on wheels for this event.

NEW BUSINESS:

Budget vs. pre-approval
Pre-approvals can be shared via e-mail.
It was shared that Mr. Young agreed that the school district would pay for contest fees at IMEA and solo/ensemble “if they have it.”  Dennis and Joni need the check at registration.  The initial fee of $25 is due 9/18/11.  There is only a 2 day grace period.  A member of WNCAP Boosters will speak with Mr. Young & the NC School Board about adding money to purchase curriculum.  Joni still needs $130 to pay for the music ordered for the start of the school year.  Dennis made a motion to approve.  Alan seconded it.

Jr. High
It was stated that the Jr. High will need to fund raise for money to use on trips, etc.  The current budget doesn’t include meals for tours.  Dennis said they’d figure something out.  Dennis commented that he would like to take charge of the Patron Program and get adults from both communities to help make it as strong as it used to be. He will need at least two people to help with this program.
Janet Rahman made a motion to approve.  Joni seconded it.
Dennis said there was a need for a large guitar case.  He quoted $399 + shipping for one that holds 12 guitars.  He will do further research to find the best deal.  The case is needed to keep the guitars safely out of the way.

High School
Alan asked for money to pay Bill Machold $250 for helping with Band Camp.  Joni made a motion to approve.  Dennis seconded it.

Band jackets
Alan suggested we check prices for fall jackets with the WNC Band logo.

Alan informed us that Warsaw had hired a general music teacher for the 2011-2012 school year.

Homecoming is in Warsaw this year.

Miscellaneous
Someone suggested we have a brochure of WNCPA Boosters information to include in a blog, e-mail, or to copy and send home with students.  This may help get parents more involved in our program.

BYU Synthesis will perform on the outdoor stage 8/8/11 through 8/10/11, 8/12/11, and 8/13/11 at 8:30 p.m.  We encourage you to attend.

Discussed about a Secretary and Dennis will ask Mrs. Lowe.

Game concessions
Concessions will only be in Warsaw this year.  Kathy and Cindy plan to look at any information concerning quantities of meat, cheese, etc. needed from previous years.  Alan will check into getting a Sam’s Club Card to use for purchases.
We will need concession stand volunteers for the following dates:
12/3/11
12/6/11
1/17/12            two separate games this day
1/24/12            two separate games this day
2/17/12

At 8:38 p.m., Alan made a motion to adjourn the meeting.  Cindy seconded it.
